HOW WE WORK

A clear route from first review to a working system.

From the first conversation through design, build, testing and launch, every stage is defined before work begins.

The client process

Nine defined stages. No hidden hand-offs.

Each decision, hand-off and review point stays visible from the first conversation through launch.

  1. Free Initial Review

We learn about your business, services, locations, existing website, enquiry sources, admin problems, current CRM or spreadsheets, email and calendar tools, integrations and known enquiry volume. This helps us discuss whether Website Creation, Lead Generation, Basic or Advanced Automation, or the Complete System may fit.

    • Business and service priorities
    • Current enquiry route and tools
    • A suitable package to consider

  2. Scope and Proposal

You receive a written proposal with the recommended package, deliverables, setup and monthly price, expected timing, required content and access, integrations, revision allowance, optional extras and support after launch. The project does not begin from a vague verbal agreement.

    • Scope and responsibilities in writing
    • Third-party assumptions recorded
    • Final timing confirmed
  3. 50% Setup Deposit

A 50% setup deposit confirms the project and reserves the build period. Work begins after the deposit has cleared. The recurring payment method is authorised during onboarding, but monthly billing begins only when the website or automation goes live.

    • Invoice issued
    • Deposit applies to the setup price
    • Build period reserved after clearance
  4. Content and Access

We provide a structured checklist. Depending on scope, this may cover services, areas, contact details, opening hours, brand assets, photographs, genuine reviews, accreditations, domain or DNS, website, email, CRM, calendar, HubSpot, Make, existing forms, approved messages and privacy information.

    • Only necessary access is requested
    • Least-privilege access where practical
    • Delays can extend delivery
  5. Design and Build

Work follows the selected package and proposal. It can include site structure, responsive layouts, service pages, forms, analytics events, approved enquiry connections, HubSpot records, acknowledgements, alerts, categorisation, follow-up, booking, reporting, error alerts and internal testing.

    • Package scope controls deliverables
    • Desktop, tablet and mobile considered
    • Internal checks before review
  6. Client Review

You receive a private preview and an organised review. Two reasonable website revision rounds are included unless the proposal says otherwise. These cover text or image corrections, small layout changes, spacing refinements and agreed workflow wording. New pages, integrations, routes, features or significant redesign need a separate quotation.

    • Final wording and routes approved
    • Human-review cases confirmed
    • No implied unlimited revisions
  7. Final Setup Balance

The remaining 50% setup balance is due after approval and before the website or automation is launched publicly. Production routes are activated after payment. Ownership or licensing follows the signed agreement, and key business accounts should remain client-owned wherever practical.

    • Final invoice after approval
    • Launch after cleared balance
    • Agreement governs ownership
  8. Testing and Launch

Where relevant, we check forms, responsive layouts, navigation, calls, email delivery, notifications, HubSpot records, categorisation, review routes, follow-up, booking, error handling, analytics, domains, SSL, performance and browser compatibility. The system then moves to production and monthly service begins.

    • Launch checks completed
    • Access and handover supplied
    • Testing reduces risk but cannot guarantee no failure
  9. Ongoing Support

Support differs by package and may include hosting, security, backups, defined maintenance, automation monitoring, alerts, minor agreed changes, workflow checks, analytics, conversion review and software allowances. It is not unlimited redesign or unlimited automation development.

    • Allowances confirmed in the proposal
    • High or separate third-party usage may cost extra
    • Agreed refinement stays within scope

Timing

Expected delivery times.

Estimates begin after the deposit clears and required content and access are received. Complex integrations, delayed feedback or scope changes can extend delivery. The proposal confirms the final expected timing; these are not guaranteed completion dates.
